Getting Started as a Coach
As a Coach on SlotBase, you create coaching blocks (your available lesson times), set your pricing, manage your students, and run sessions and events. Whether you teach private lessons, group clinics, or multi-day camps, SlotBase gives you the tools to organize your coaching business. This guide walks you through setting up your profile, creating your first coaching block, and managing your day-to-day schedule.

Step 1: Create Your Coach Profile
Your coach profile is what players and facility admins see when they look you up. Make it count.
- Sign in to your SlotBase account.
- Go to your Coach Dashboard.
- Click Edit Profile.
- Fill in your details:
- Bio -- a short description of your coaching philosophy and background
- Specializations -- the sports and skills you focus on (for example, "Tennis -- Serve & Volley", "Cricket -- Fast Bowling")
- Certifications -- any coaching certifications you hold (USPTA, USTA, ICC Level 2, etc.)
- Experience -- years of coaching experience and notable achievements
- Hourly rate -- your default rate for private lessons
- Click Save.
A detailed profile with certifications and a clear bio helps you stand out. Players often browse coach profiles before booking a lesson.
Step 2: Affiliate with a Facility
Before you can create coaching blocks, you need to be affiliated with at least one facility. There are two ways this can happen:
Option A: You request affiliation
- Browse available facilities on SlotBase.
- Find the facility where you want to coach.
- Click Request Affiliation.
- The facility admin will review and approve your request.
Option B: A facility invites you
- A facility admin sends you an affiliation invitation.
- You receive a notification or email.
- Accept the invitation to become affiliated.
Once approved, the facility appears in your Affiliated Facilities list and you can start creating coaching blocks there.
You can affiliate with multiple facilities. Each facility may have its own approval requirements for your coaching blocks.
Step 3: Create a Coaching Block
A coaching block is a time slot (or recurring series of time slots) when you are available to teach. Players book into these blocks.

From your Coach Dashboard, click Create Block.

Fill in the block details:
Lesson type -- choose one:
- Private -- one-on-one lesson (1 student)
- Semi-Private -- small group (2-3 students)
- Group -- larger group (4+ students)
- Drop-In -- open to anyone, no commitment
- Clinic -- focused skill session
- Camp -- multi-day intensive
Sport and details:
- Sport type -- tennis, cricket, pickleball, etc.
- Ball type -- for cricket, specify vinyl or leather
- Age group -- the target age range for the lesson
- Skill level -- beginner, intermediate, advanced, or all levels
Schedule:
- Date and time -- when the block starts and ends
- Recurrence -- one-time, daily, weekly, biweekly, or monthly
- Facility and resource -- which facility and court/lane/field to use
Pricing:
- Per-student rate -- each student pays this amount
- Flat rate -- alternatively, set a single price for the entire session regardless of student count
- Discount -- optionally offer a percentage or dollar discount

Click Save to submit the block.
Step 4: Wait for Facility Approval
After you create a block, it goes through an approval process:
- PENDING -- your block has been submitted and is awaiting review by the facility admin.
- APPROVED -- the facility admin has approved your block. It is now published and visible to players.
- Players can browse and book into your approved blocks.
Do not schedule students until your block is approved. Only approved blocks appear on the facility calendar and are available for booking.
Managing Your Students
You can track all your students from the Students section of your Coach Dashboard:
- Active -- currently enrolled and attending sessions
- Paused -- temporarily on hold (for example, due to vacation or injury)
- Inactive -- no longer attending
Use this view to keep track of your roster, follow up with paused students, and manage your teaching load.
Viewing Your Schedule
The Schedule page shows all your upcoming coaching blocks, booked sessions, and events in a calendar view. You can:
- Filter by facility if you coach at multiple locations
- See which blocks have open spots and which are fully booked
- Click on any session to view booking details, student names, and payment status
Check your schedule at the start of each day to see who is booked, confirm attendance, and prepare for your sessions.
Creating Coach-Led Events
As a coach, you can create events tied to your profile:
- Go to Events and click Create Event.
- Fill in the event details: name, type (clinic, camp, tournament, etc.), date, time, and capacity.
- The event will be associated with your coach profile, so players know who is leading it.
- Publish the event to start accepting registrations.
Coach-led events appear on both the facility calendar and your personal schedule.
Participating in Programs
Facility admins may assign you to ongoing programs (group classes that run on a recurring schedule). You can be assigned in one of three roles:
- Lead Coach -- you run the program and are the primary instructor
- Assistant Coach -- you support the lead coach during sessions
- Substitute Coach -- you fill in when the lead or assistant coach is unavailable
You will see your assigned programs in the Programs section of your dashboard.
Best Practices
- Keep your profile updated -- add new certifications and adjust your bio as your experience grows.
- Set realistic availability -- only create blocks for times you can reliably commit to.
- Respond to bookings promptly -- players appreciate coaches who are communicative and reliable.
- Use recurring blocks -- if you teach the same time slot every week, set up a recurring block to save time.
- Track student progress -- use the student statuses to keep your roster organized.
