Getting Started as a Player
As a Player on SlotBase, you book sessions at sports facilities, register for events like tournaments and clinics, and enroll in programs such as group classes. This guide walks you through creating your account, joining a facility, making your first booking, and everything else you need to enjoy a smooth experience.
What You Can Do
- Sign up and create your account
- Join facilities and browse available time slots
- Book sessions (one-time or recurring)
- Register for events (tournaments, clinics, open play)
- Enroll in programs (group classes with trial and subscription options)
- View your payment history and invoices
- Manage your profile and settings
Step 1: Sign Up and Create Your Account
- Go to the SlotBase website or open the SlotBase mobile app.
- Click Sign Up.
- Enter your email address and create a password. SlotBase uses secure authentication to protect your account.
- Verify your email address by clicking the link sent to your inbox.
- Complete your profile with your name, phone number, and any other requested details.
Use an email address you check regularly. SlotBase sends booking confirmations, event updates, and other important notifications to your email.
Step 2: Join a Facility
Before you can book sessions, you need to join at least one facility:
- Go to Browse Facilities from your Player Dashboard.
- Search for a facility by name, location, or sport.
- Click on the facility to view its profile, resources, and available sports.
- Click Request to Join.
- Depending on the facility's settings:
- Auto-approved -- you are immediately added as a member and can start booking right away.
- Approval required -- the facility admin reviews your request. You will receive a notification when you are approved.
Some facilities may invite you directly by email. If you receive an invitation, simply click the link to accept and join.
Step 3: Book a Session
Once you are a member of a facility, you can book sessions on the calendar:
- Go to the facility's Calendar or Book page.
- Browse the available time slots. You can filter by resource (court, field, lane), sport, or date.
- Select the resource and time slot you want.
- A HOLD is placed on the slot -- this is a temporary reservation that gives you a few minutes to confirm.
- Review the booking details (resource, time, price) and click Confirm Booking.
What happens next depends on the facility's booking policy:
- No approval required -- your booking is immediately CONFIRMED. You are all set.
- Approval required -- your booking moves to PENDING status. The facility admin will review it.
- If approved, your status changes to APPROVED.
- If the admin does not respond within the auto-approve timeout, the booking is automatically approved.
On the day of your session:
- Arrive at the facility and check in. Your status updates to CHECKED_IN.
- After the session ends, it is marked as COMPLETED.
Holds are temporary. If you do not confirm within the hold window, the slot is released back to the calendar for others to book. Do not wait too long after selecting a time slot.
Canceling or Rescheduling
If your plans change, you can cancel or reschedule:
- Go to My Bookings in your Player Dashboard.
- Find the booking you need to change.
- Click Cancel or Reschedule.
- If rescheduling, select a new available time slot and confirm.
Cancellation policies vary by facility. Some facilities have cut-off times (for example, no cancellations within 24 hours of the session). Check the facility's policy before canceling to avoid any fees.
Booking Recurring Sessions
If you play regularly, set up a recurring booking to secure your preferred time slot:
- When creating a booking, look for the Recurrence option.
- Choose a pattern: Weekly, Biweekly, or Monthly.
- Set the end date or number of occurrences.
- Confirm the recurring booking. All sessions in the series will be created at once.
This is especially useful for regular coaching sessions or weekly playing time with friends.
Registering for Events
Facilities host events such as tournaments, clinics, and open play sessions. To register:
- Go to the facility's Events page.
- Browse upcoming events and click on one to see details (date, time, cost, capacity, description).
- Click Register.
- If the event has a waiver, read and accept it before proceeding.
- Depending on availability:
- Spots available -- your status is REGISTERED. You are in.
- Event full -- you are placed on the WAITLIST. The waitlist follows a first-in, first-out (FIFO) order. If someone cancels, you are automatically promoted and notified.
Keep an eye on your notifications. If you are promoted from the waitlist, you will receive an alert so you can plan to attend.
Enrolling in Programs
Programs are ongoing group classes offered by facilities (for example, a weekly beginner tennis program). To enroll:
- Go to the facility's Programs page.
- Browse available programs and click on one to see details (schedule, coach, skill level, pricing).
- Click Enroll.
- Choose your enrollment type:
- Trial session -- attend a session for free to see if the program is a good fit
- Monthly subscription -- pay a recurring monthly fee for regular attendance
- Drop-in -- pay per session at a higher rate, no long-term commitment
Trial sessions are a great way to try a new sport or coach without any financial commitment. Take advantage of them when available.
Viewing Payment History and Invoices
To review your financial activity:
- Go to Payments in your Player Dashboard.
- You will see a list of all your transactions, including booking fees, event registrations, and program enrollments.
- Click on any transaction to view the full details.
- To view or download an invoice, click View Invoice next to the relevant charge.
Managing Your Profile and Settings
Keep your account information up to date:
- Go to Settings in your Player Dashboard.
- Update your personal information, contact details, and notification preferences.
- Review your facility memberships and manage them as needed.
- Click Save after making any changes.
Booking Status Reference
Here is a quick reference for the booking statuses you may encounter:

| CONFIRMED | Booking is confirmed (no approval needed) |
| PENDING | Awaiting facility admin approval |
