Getting Started as a Platform Admin

As a Platform Admin, you manage the entire SlotBase platform. You are responsible for creating facilities, inviting facility owners, managing subscriptions, and monitoring the health of the platform. This guide walks you through everything you need to get up and running.

  • Send facility invitations to owners
  • Manage subscriptions and billing plans
  • Suspend or activate facilities
  • View platform-wide analytics

Accessing the Admin Dashboard

  1. Sign in to your SlotBase account.
  2. Navigate to /admin in your browser. This is the dedicated Platform Admin area.
  3. You will see the Admin Dashboard with an overview of all facilities, active subscriptions, and recent activity.

The /admin area is only accessible to users with the Platform Admin role. If you do not see it, contact your SlotBase account representative.

Creating a New Facility

To add a new sports facility to the platform:

  1. From the Admin Dashboard, click Create Facility.
  2. Enter the facility name and basic details.
  3. Choose to either set up the facility yourself or send an invitation to the facility owner.
  4. Click Save to create the facility.

The facility will appear in your facility list with a status of Draft until the facility admin completes the setup and publishes it.

Sending Facility Invitations

You can invite a facility owner to claim and set up their facility:

  1. Go to Facilities in the admin sidebar.
  2. Find the facility you want to assign, or create a new one.
  3. Click Invite Owner.
  4. Enter the owner's email address and an optional welcome message.
  5. Click Send Invitation.

The owner will receive an email with a link to accept the invitation and begin setting up their facility.

tip

You can resend invitations if the owner has not yet accepted. Look for the Resend option next to pending invitations.

Managing Subscriptions

Each facility operates under a subscription plan. SlotBase offers four tiers:

To manage a facility's subscription:

  1. Navigate to Facilities and select the facility.
  2. Click the Subscription tab.
  3. Choose a plan or modify the existing one.
  4. Confirm the change. The new plan takes effect immediately.

Downgrading a plan may disable features the facility is currently using. Review the plan comparison before making changes.

Suspending and Activating Facilities

If you need to temporarily disable a facility (for example, due to a billing issue or policy violation):

  1. Go to Facilities and select the facility.
  2. Click Suspend Facility.
  3. Confirm the suspension. The facility will be hidden from public view and all bookings will be paused.

To reactivate a suspended facility:

  1. Find the facility in your list (filter by Suspended status).
  2. Click Activate Facility.
  3. The facility will be restored and visible to members again.

Suspending a facility affects all active bookings and events. Members will not be able to make new bookings while the facility is suspended. Notify the facility admin before suspending whenever possible.

Viewing Platform Analytics

The Analytics section of the Admin Dashboard gives you a bird's-eye view of the platform:

  • Total facilities -- active, draft, and suspended counts
  • Total users -- players, coaches, facility admins, and parents
  • Booking volume -- daily, weekly, and monthly trends
  • Revenue overview -- across all facilities and subscription plans

Use the date range picker and filters to drill down into specific time periods or facility types.

Best Practices

  • Review new facility setups before they go live to ensure quality and completeness.
  • Monitor subscription usage to identify facilities that might benefit from an upgrade.
  • Keep invitations current -- follow up on pending invitations that have not been accepted.
  • Check analytics weekly to spot trends, issues, or growth opportunities early.
