Block Waitlist

Coach blocks are dedicated time slots where a coach is available for private lessons or group sessions. When all spots in a coach block are filled, players can join the block waitlist to be notified if a spot opens up.


How the Block Waitlist Works

  1. A coach creates a block with a specific number of available slots (e.g., 4 lesson slots from 3 PM to 7 PM).
  2. Players book lessons within the block until all slots are filled.
  3. Additional players who want a lesson during that block see a Join Waitlist option.
  4. When a booked player cancels, the first waitlisted player is promoted.

Joining the Block Waitlist

As a Player

  1. Navigate to the coach's profile or the booking page.
  2. Select the block time you are interested in.
  3. If all slots in the block are taken, click Join Waitlist.
  4. You receive a confirmation that you are on the waitlist for that coach block.

As a Parent (for your child)

  1. Navigate to the coach's profile or booking page.
  2. Select the block.
  3. Click Join Waitlist.
  4. Select your child's name as the participant.
  5. Your child is added to the block waitlist.

You are joining the waitlist for a specific coach block, not for the coach in general. If the coach has other available blocks, you can book those directly.


What Makes Block Waitlists Different

Block waitlists are specific to the coaching system and differ from other waitlists in a few ways:

Promotion Process

When a lesson slot opens within the coach block:

  1. The system identifies the first WAITING player on the BlockWaitlist.
  2. The player's status changes to NOTIFIED.
  3. An email notification is sent with the coach block details and a link to confirm.
  4. The player has the configured number of hours to confirm (waitlistExpiryHrs).
  5. If confirmed, the player is booked into the lesson slot and their status becomes BOOKED.
  6. If not confirmed in time, the status becomes EXPIRED and the next player is notified.

Managing the Block Waitlist

As a Coach

If you are a coach, you can view the waitlist for your blocks:

  1. Navigate to your Coach Dashboard.
  2. Select the block in question.
  3. Open the Waitlist tab to see who is waiting.

As a Facility Admin

  1. Navigate to the coach's schedule in the admin dashboard.
  2. Click on the fully booked block.
  3. View the Waitlist tab.

If a coach's blocks are consistently full with long waitlists, consider extending the coach's availability or adding more block time to meet demand.


Cancelling Your Waitlist Entry

To remove yourself from a coach block waitlist:

  1. Go to your Dashboard or Waitlists section.
  2. Find the block waitlist entry.
  3. Click Cancel Waitlist.
  4. Your entry is removed and other players move up in the queue.

Block waitlists tend to be most active for:

  • Highly rated coaches with limited availability
  • Peak hours (after school, weekends)
  • Specialized lessons (advanced technique, competition prep)

If you are notified that a spot has opened, act quickly. The expiry window is limited, and the spot will go to the next person in line if you do not confirm in time.
