Offline Payments
Offline payments are payments that happen outside of SlotBase's online checkout -- typically at the facility's front desk. After you pay, a staff member records the payment in the system so your booking or invoice is updated.
How Offline Payments Work
The offline payment process has two participants: the player who pays and the admin or staff member who records it.
- You book a session or receive an invoice for your enrollment.
- You visit the facility and pay at the front desk using one of the accepted methods.
- The staff member opens your booking or invoice in SlotBase and records the payment.
- Your booking's payment status updates to Paid (or Partial if you did not pay the full amount).
- You receive a confirmation that your payment has been recorded.
Offline payments are available at every SlotBase facility by default. No additional setup is required.
Accepted Offline Payment Methods
Your facility may accept any combination of the following offline payment methods:
| Method | Description |
|---|---|
| Cash | Physical currency paid at the front desk |
| Check | Personal or business check |
| Bank Transfer | Wire transfer or ACH payment to the facility's bank account |
| Venmo | Peer-to-peer payment via the Venmo app |
| Zelle | Peer-to-peer payment via the Zelle network |
| Other | Any other payment method accepted by the facility |
If you are unsure which offline payment methods your facility accepts, check with the front desk or look for accepted payment signage at the facility.
What Happens After You Pay
Once the staff member records your payment in SlotBase:
- Your booking status remains confirmed, and the payment status changes to Paid.
- If you paid toward an invoice, the invoice status updates to reflect the payment (either Paid or Partially Paid).
- The transaction appears in your payment history, which you can view from your player dashboard.
- The staff member may add a reference number (such as a check number) and notes to the payment record for tracking purposes.
Partial Payments
Offline payments support partial payments. If you cannot pay the full amount at once, the staff member can record the amount you paid. Your payment status will show as Partial until the remaining balance is collected.
A booking with a Partial payment status still has an outstanding balance. Make sure to complete your payment before the facility's deadline to avoid any issues with your reservation.
Offline Payment Statuses
Each offline payment record goes through its own lifecycle:
| Status | Meaning |
|---|---|
| Recorded | The staff member has entered the payment into SlotBase |
| Verified | An admin has confirmed the payment was actually received |
| Disputed | There is a disagreement about the payment (e.g., a bounced check) |
| Void | The payment record has been cancelled |
Frequently Asked Questions
Can I pay offline for an online booking? Yes. If you booked a session online but prefer to pay at the facility, the staff member can record your payment when you arrive. This depends on the facility's payment timing configuration.
Will I get a receipt? SlotBase records all payments in your account history. You can view your payment history from the player dashboard. For a physical receipt, ask the front desk staff.
What if I paid but my status still shows Pending? The staff member may not have recorded the payment yet. Ask at the front desk to have your payment entered into the system.
