Events on Calendar
Events appear on the SlotBase calendar alongside regular bookings, giving you a complete picture of everything happening at your facility. Events have distinct styling to make them easy to identify at a glance.
How Events Appear
Events are displayed as blocks on the calendar, similar to bookings but with different visual styling:

Events span the time range they occupy on the assigned resource, just like bookings.

Events and bookings coexist on the same calendar. An event occupies a resource for its duration, which means that time slot is not available for individual bookings.
Viewing Event Details
Click on any event block on the calendar to open its detail panel:
- Event name and description
- Date and time
- Resource where the event takes place
- Capacity -- Total spots and how many are filled
- Registered players -- List of participants
- Waitlist count -- Number of players waiting if the event is full
- Event status -- Published, Draft, Cancelled
Events in Day View
In the day view, events appear as colored blocks within the resource column where they are scheduled:
- The event block shows the event name and the registration count (e.g., "Tennis Clinic - 8/12")
- Purple blocks indicate available spots
- Gray blocks indicate the event is full
- Click the block to view full details or manage registrations
Events in Week View
In the week view, events appear as blocks within the day column:
- Events are labeled with the event name
- Color coding (purple/gray) indicates availability
- Click any event to drill into details
Events in Month View
In the month view, events appear as indicators on the days they occur:
- Each day with an event shows the event name or a count of events
- Click a day to switch to the day view and see full event details
Creating Events from the Calendar
Facility admins can create events directly from the calendar:
- Click on an empty time slot in the day view.
- Select Create Event (instead of creating a booking).
- Fill in the event details (name, capacity, description, etc.).
- Click Save and optionally Publish the event.
The event immediately appears on the calendar at the chosen resource and time.
Use the calendar's day view when creating events so you can see exactly what time slots are available on each resource before scheduling.
Recurring Events on the Calendar
If an event is set to recur (e.g., weekly), each occurrence appears as a separate block on the calendar. All occurrences share the same event styling and are linked to the parent recurring event.
Event Conflicts
Events and bookings cannot overlap on the same resource at the same time. If you try to create an event that conflicts with an existing booking (or vice versa), SlotBase will alert you to the conflict.
When scheduling events on popular resources, check the calendar first to make sure the time slot is free. Existing bookings will need to be moved before an event can be created in that slot.
