Create Event (Admin)

As a facility admin, you create events to organize activities like tournaments, clinics, open play sessions, and camps. This guide walks you through every step of the event creation process.


Before You Begin

Make sure you have the following ready:

  • At least one resource (court, field, room) configured in your facility
  • The event date and time you want to schedule
  • A description of the event for players
  • The price (or confirm the event is free)
  • The capacity (maximum number of participants)

You must be a facility admin to create events. Players cannot create events.


Step-by-Step: Creating an Event

  1. Navigate to Events in the facility admin sidebar.
  2. Click the New Event button in the top-right corner.
  3. Fill in the event form:

  1. Review your event details.
  2. Choose one of the following actions:
    • Click Save as Draft to save the event without publishing it.
    • Click Publish to make the event immediately visible to players.

If you are not sure about all the details yet, save as a Draft. You can edit and publish later without losing any information.


Setting the Right Capacity

The capacity controls how many players can register before the waitlist activates. Consider the following when setting it:

  • Court or field limits -- How many players can physically participate at once?
  • Equipment availability -- Do you have enough gear for everyone?
  • Event format -- A round-robin tournament may need an even number of participants.

Once players have registered, reducing the capacity below the current registration count does not remove existing registrations. Plan your capacity carefully before publishing.


Free vs. Paid Events

  • To create a free event, set the price to 0. Players will register without any payment step.
  • To create a paid event, enter the registration fee. Players will be directed to Stripe checkout after clicking Register.

Adding a Waiver

If your event requires participants to sign a liability waiver:

  1. Enter the waiver text directly in the Waiver Text field, or
  2. Paste a URL to an external waiver document in the Waiver URL field.

Players will be required to accept the waiver before completing their registration. See Event Waivers for more details.


What Happens After Creation

  • Draft events are saved but not visible to players. The resource is not blocked.
  • Published events appear on the calendar and in the events list. The resource time slot is blocked immediately.

You can always return to the Events list to view, edit, or publish your draft events.
