Coach-Led Sessions
Some events at your facility are led by a specific coach. SlotBase allows facility admins to assign a coach to any event, giving players visibility into who will be leading the session and allowing coaches to see their assigned events.
What Are Coach-Led Sessions?
A coach-led session is a standard event with an assigned coach. The event still follows the same lifecycle as any other event -- it is created by an admin, published, and opened for player registration. The key difference is that a coach's name and profile are associated with the event.
Common examples of coach-led sessions include:
- Skills clinics -- A coach teaches a specific technique or skill
- Group lessons -- A coach leads a group training session
- Camps -- A multi-day program run by a specific coach
- Private group sessions -- A coach works with a small, registered group
How Coach-Led Sessions Differ from Regular Events

Assigning a coach is optional. All other event features -- pricing, capacity, waivers, waitlists, and recurring schedules -- work exactly the same way regardless of whether a coach is assigned.
Assigning a Coach to an Event (Admin)
To assign a coach when creating or editing an event:
- Navigate to Events in the facility admin sidebar.
- Click New Event or open an existing event to edit.
- In the Coach field, select the coach from the dropdown list.
- Complete the remaining event details.
- Save or publish the event.
The coach dropdown only shows coaches who are approved at your facility. If you do not see the coach you are looking for, make sure they have been added and approved in the Coaching section.
Changing the Assigned Coach
You can change the assigned coach on a published event:
- Open the event from the Events list.
- Update the Coach field to a different coach, or clear it to remove the coach assignment.
- Save your changes.
Players who are already registered will see the updated coach information on the event detail page.
What Players See
When a player views a coach-led event, the event detail page includes:
- The coach's name displayed prominently alongside the event details
- A link to the coach's profile where players can learn more about the coach's background and specialties
This helps players make informed decisions about which events to register for, especially when multiple similar events are offered by different coaches.
What Coaches See
Coaches can view their assigned events from the coach dashboard:
- Events assigned to a coach appear in the coach's schedule or events section.
- The coach can see registration details, including how many players are registered and how many spots are available.
- Coaches cannot modify event details -- only the facility admin can edit events.
Coaches cannot create or manage events directly. All event creation, publishing, and cancellation must be done by a facility admin. The coach role is limited to viewing their assignments.
Coach-Led Recurring Events
You can assign a coach to a recurring event. When you do:
- The same coach is assigned to all instances in the series.
- If you need a different coach for a specific date, edit that individual child event and change the coach assignment.
This is useful for scenarios like a weekly clinic where one coach leads most sessions but a substitute fills in on certain dates.
Removing a Coach from an Event
To remove a coach assignment:
- Open the event from the Events list.
- Clear the Coach field (select "None" or clear the selection).
- Save your changes.
The event continues as a regular event without a coach. Players who are already registered are not affected.
