Event Waivers

Some events require participants to accept a liability waiver before they can register. SlotBase supports inline text waivers and external URL waivers, giving facility admins flexibility in how they present their waiver requirements to players.


What Is an Event Waiver?

A waiver is a legal acknowledgment that a player must accept before registering for an event. Waivers are commonly used for:

  • Liability release -- Protecting the facility from injury claims
  • Assumption of risk -- Confirming the player understands the physical nature of the activity
  • Photo/video consent -- Allowing the facility to use media captured during the event
  • Facility rules -- Requiring agreement to specific rules of conduct

Waivers are optional on a per-event basis. You choose whether each event requires a waiver or not. Events without a waiver allow players to register immediately.


Waiver Types

SlotBase supports two waiver formats:

You can use one or both. If both are provided, the player sees the inline text and has access to the linked document.


Setting Up a Waiver (Admin)

Adding a Text Waiver

  1. Navigate to Events in the facility admin sidebar.
  2. Click New Event or edit an existing event.
  3. Scroll to the Waiver section of the event form.
  4. Enter your waiver text in the Waiver Text field.
  5. Save or publish the event.

Adding a URL Waiver

  1. Navigate to Events in the facility admin sidebar.
  2. Click New Event or edit an existing event.
  3. Scroll to the Waiver section of the event form.
  4. Paste the link to your waiver document in the Waiver URL field.
  5. Save or publish the event.

Host your waiver document on a reliable platform (such as Google Docs, your website, or a cloud storage service) and make sure the link is publicly accessible. Players will not be able to view a document that requires a login.


Player Experience

When a player opens an event that requires a waiver, the registration flow includes an additional step:

  1. The player views the event detail page.
  2. The waiver text is displayed on the page (and/or a link to the external waiver document is provided).
  3. The player reads the waiver content.
  4. The player checks the I accept the waiver checkbox.
  5. The Register button becomes active.
  6. The player clicks Register to complete their registration.

The Register button is disabled until the player checks the waiver acceptance box. Players cannot bypass the waiver requirement.


Waiver Acceptance Records

When a player accepts a waiver, SlotBase records:

This record provides documentation that the player acknowledged the waiver before participating in the event.

Waiver acceptance records are tied to individual event registrations. If a player registers for multiple events that each require a waiver, they must accept the waiver for each event separately.


Updating a Waiver on a Published Event

You can update the waiver text or URL on a published event:

  1. Open the event from the Events list.
  2. Edit the Waiver Text or Waiver URL field.
  3. Save your changes.

Important considerations when updating:

  • Players who already registered accepted the original waiver. Their acceptance records reflect what was shown at the time.
  • New registrants will see and must accept the updated waiver.
  • Previously registered players are not asked to re-accept the updated waiver.

Events Without Waivers

If your event does not require a waiver, simply leave the Waiver Text and Waiver URL fields empty. Players will be able to register without any waiver step.


Best Practices

  • Keep text waivers concise -- Players are more likely to read a short, clear statement than a lengthy legal document.
  • Use URL waivers for detailed documents -- If your legal team requires a comprehensive waiver, link to it rather than pasting the full text.
  • Test the waiver URL -- Before publishing, open the URL in an incognito browser window to confirm it is accessible without login.
  • Consult legal counsel -- SlotBase provides the mechanism for waiver collection, but the content and enforceability of your waiver should be reviewed by a legal professional.
