Add Player Manually
Sometimes you need to add a player to your facility without going through the invitation or join request process. Manual addition lets facility admins add players directly from the dashboard.
When to Use Manual Add
Manual player addition is useful when:
- A player is standing at your front desk and wants to get started immediately
- You are migrating players from another system
- You want to add a player who does not have email access at the moment
- You need to create a child account on behalf of a parent
Adding an Existing User
If the player already has a SlotBase account, you can add them to your facility by their email address.
- Navigate to Players in your facility admin dashboard.
- Click the Add Player button.
- Enter the player's email address in the search field.
- If the system finds a matching account, click Add to Facility.
- The player is immediately added to your roster as an active player.
The player will receive a notification that they have been added to your facility. They can then log in and see your facility in their dashboard.
Creating a New Player Account
If the player does not yet have a SlotBase account, you can create one for them.
- Navigate to Players in your facility admin dashboard.
- Click the Add Player button.
- Enter the player's details:
- First Name and Last Name (required)
- Email Address (required)
- Phone Number (optional)
- Date of Birth (optional, but recommended for minors)
- Click Create & Add Player.
- The system creates a new account and adds the player to your facility.
The player will receive a welcome email with instructions to set up their password and access their account.
Manual Add vs. Invitation

Use Manual Add when the player is physically present or you need them on the roster right away. Use Invitation when you want the player to opt in on their own time.
Permissions
Only facility admins can manually add players. Coaches and existing players cannot add other players to the facility.
After Adding a Player
Once a player is manually added, they can:
- View the facility in their dashboard
- Book sessions on available resources
- Register for events and programs
- Receive communications from your facility
The player appears on your roster with an Active status immediately.
