Player Management Overview
Players are the lifeblood of your facility. SlotBase gives you multiple ways to bring players on board, manage their status, and keep your roster organized. Whether players find you on their own or you invite them directly, the system tracks every step of the process.
How Players Join Your Facility
There are three ways a player can become part of your facility:
| Method | Who Initiates | How It Works |
|---|---|---|
| Invitation | Facility admin | Admin sends an email invitation; player clicks the link to accept |
| Join Request | Player | Player finds your facility and submits a request; admin reviews and approves |
| Manual Add | Facility admin | Admin creates or adds a player account directly from the dashboard |
Each method follows a slightly different workflow, but all result in the player appearing on your facility roster once complete.
The Player Lifecycle
A typical player journey through your facility looks like this:
- Discovery -- The player learns about your facility through an invitation, search, or referral.
- Joining -- The player accepts an invitation, submits a join request, or is added manually by an admin.
- Approval -- If the player submitted a join request, an admin reviews and approves or rejects it.
- Active Membership -- The player can now book sessions, register for events, and enroll in programs.
- Ongoing Management -- Admins can update player status, view activity, and manage the player's profile.
Managing Your Player Roster
From the Players section in your facility admin dashboard, you can:
- View all players and their current statuses
- Search and filter players by name, email, or status
- Send new invitations to prospective players
- Review pending join requests
- Access individual player profiles for detailed information
Use the search bar at the top of the Players page to quickly find a specific player by name or email address.
Player Roles and Permissions
Within your facility, players can interact with the system in several ways:
- Book sessions on available resources
- Register for events created by your facility
- Enroll in programs offered at your facility
- View their own bookings, payments, and history
- Manage their profile including contact information
Players cannot access facility admin settings, manage other players, or modify facility resources. Those actions are reserved for facility admins and coaches.
Key Concepts
- Player vs. User -- A user becomes a "player" in the context of a specific facility. The same user can be a player at multiple facilities.
- Facility Context -- Player status, bookings, and activity are all scoped to your facility. A player's data at another facility is completely separate.
- Parent Accounts -- Players who are minors may be managed by a parent or guardian account. See the Family & Children section for details.
