Approve/Reject Players
When a player submits a join request to your facility, it lands in your pending queue for review. As a facility admin, you decide whether to approve or reject each request.
Reviewing Join Requests
- Navigate to Players in your facility admin dashboard.
- Select the Join Requests tab.
- You will see all pending requests listed with the player's name, email address, and submission date.
- Click on a request to view the player's details.
Approving a Player
- Open the pending join request.
- Review the player's information (name, email, and any other submitted details).
- Click the Approve button.
- The player is immediately added to your facility roster with an Active status.
- The player receives an email notification confirming they have been approved.
Once approved, the player can immediately log in and start booking sessions, registering for events, and enrolling in programs at your facility.
Rejecting a Player
- Open the pending join request.
- Review the player's information.
- Click the Reject button.
- The player receives an email notification informing them that their request was not approved.
Rejection is final for that specific request. If you change your mind later, the player will need to submit a new join request, or you can invite them directly.
What Happens After Each Action

Batch Review
If you have multiple pending requests, you can work through them one by one from the join requests list. Each decision is applied immediately, so you do not need to save or submit a batch.
Best Practices
- Review promptly -- Players waiting for approval cannot use your facility. A quick turnaround builds trust.
- Check for duplicates -- If a player already exists on your roster (perhaps added manually), you may see a duplicate request. Verify before approving.
- Use invitations for known players -- If you already plan to add specific people, sending invitations avoids the approval step entirely.
Only facility admins can approve or reject join requests. Coaches and other players do not have access to this functionality.
Notifications
Both approval and rejection trigger an automated email to the player. The approval email includes a link to your facility on SlotBase so the player can get started immediately.
