Invite Players
The fastest way to bring new players into your facility is by sending an email invitation. When you invite a player, they receive an email with a link to join your facility directly, skipping the join request approval process.
How Invitations Work
- You enter the player's email address and send the invitation.
- The player receives an email with a personalized invitation link.
- The player clicks the link, creates an account (or signs in if they already have one), and is immediately added to your facility roster.
- The invitation is marked as Accepted and the player appears as an active member.
If the player already has a SlotBase account, they simply sign in and accept the invitation. They do not need to create a new account.
Sending an Invitation
- Navigate to Players in your facility admin dashboard.
- Click the Invite Player button.
- Enter the player's email address.
- Click Send Invitation.
- The system sends the invitation email immediately.
You can send multiple invitations at once by repeating the process for each email address.
Invitation Statuses
Each invitation has a status that tells you where it stands:

|---|---|
| PENDING | The invitation has been sent but the player has not yet accepted |
| ACCEPTED | The player clicked the link and joined your facility |
| EXPIRED | The invitation link has expired without being accepted |
| REVOKED | An admin cancelled the invitation before it was accepted |
Managing Pending Invitations
From the Players page, you can view all pending invitations and take action:
- Resend -- Send a fresh invitation email if the original was missed or expired.
- Revoke -- Cancel a pending invitation if it was sent in error. The invitation link will no longer work.
If a player tells you they did not receive the invitation, ask them to check their spam or junk folder. You can also revoke the old invitation and send a new one.
Invitation Expiration
Invitations do not last forever. If a player does not accept within the configured time window, the invitation expires automatically. You can always send a new invitation if this happens.
Once an invitation is REVOKED or EXPIRED, the original link no longer works. You must send a new invitation if you still want the player to join.
Bulk Invitations
If you need to onboard many players at once, you can send invitations one at a time from the dashboard. Each invitation is tracked independently, so you can monitor which players have accepted and which are still pending.
What the Player Sees
When a player receives your invitation email, they see:
- Your facility name
- A personalized invitation message
- A button to accept the invitation and join
Clicking the button takes them to SlotBase where they can sign in or create an account. Once authenticated, they are automatically added to your facility.
