Join Requests

Players can discover your facility on SlotBase and submit a request to join. Join requests give you control over who becomes a member while still allowing players to find and approach your facility on their own.


How Join Requests Work

  1. A player finds your facility on SlotBase (through search or a direct link).
  2. The player clicks Request to Join on your facility page.
  3. The system creates a join request with a PENDING status.
  4. You receive a notification that a new join request has been submitted.
  5. You review the request and either approve or reject it.
  6. The player is notified of your decision.

Join Request Statuses

PENDINGThe request has been submitted and is waiting for admin review
APPROVEDThe admin has approved the request; the player is now a member
REJECTEDThe admin has declined the request; the player is not added

Viewing Pending Requests

  1. Navigate to Players in your facility admin dashboard.
  2. Look for the Join Requests tab or section.
  3. You will see a list of all pending requests with the player's name, email, and the date they submitted the request.
tip

Check your join requests regularly so players are not left waiting. A prompt response creates a good first impression.


What the Player Sees

After submitting a join request, the player sees a confirmation that their request is pending. They are informed that:

  • Their request has been received
  • A facility administrator will review it
  • They will be notified by email once a decision is made

While their request is pending, the player cannot book sessions or register for events at your facility.


Notification Flow

SlotBase sends email notifications at each step of the process:

  1. To the admin -- When a new join request is received.
  2. To the player -- When their request is approved or rejected.

This ensures neither party is left in the dark about the status of the request.

If you already know which players you want at your facility, invitations are faster. Join requests are better when you want players to come to you while you retain approval authority.


Disabling Join Requests

If you prefer to manage your roster exclusively through invitations and manual adds, you can configure your facility to disable public join requests. Check your Facility Settings under member policies for this option.
