Block Approval

Every coach block must be reviewed and approved by a facility admin before it becomes visible to players. This approval workflow ensures that the facility maintains control over its calendar, resources, and scheduling policies.

Why Blocks Require Approval

Facility admins need oversight of what appears on their calendar. The approval process allows admins to:

  • Verify that block times do not conflict with existing bookings or facility events
  • Ensure coaches are scheduling within their permitted lesson types and sports
  • Confirm that pricing aligns with the facility's rate guidelines
  • Maintain quality control over what players see

The Approval Workflow

Coach creates block  -->  PENDING  -->  Admin reviews  -->  APPROVED or REJECTED
  1. The coach creates a block from their dashboard and submits it.
  2. The block enters Pending status.
  3. The facility admin receives a notification about the new block request.
  4. The admin reviews the block details and either approves or rejects it.
  5. The coach is notified of the decision.

Reviewing Blocks as an Admin

To review pending blocks:

  1. Go to your Facility Admin Dashboard.
  2. Navigate to Coaching > Pending Blocks.
  3. You will see a list of all blocks awaiting your review.
  4. Click on a block to view its full details -- time, lesson type, sport, pricing, and capacity.
  5. Click Approve to allow the block or Reject to decline it.

When rejecting a block, provide a reason so the coach understands what to change. Common reasons include time conflicts, pricing issues, or unapproved lesson types.

What Happens After Approval

Once you approve a block:

  • The block status changes from Pending to Approved.
  • The coach can then choose to publish the block to make it visible to players.
  • Players can browse and book the published block.
  • The block appears on the facility calendar.

Approval alone does not make a block visible to players. The coach must also toggle the Published flag. This gives coaches flexibility to prepare blocks in advance and publish them on their own schedule.

What Happens After Rejection

When you reject a block:

  • The block status changes to Rejected.
  • The coach receives a notification with your rejection reason.
  • The coach can create a new, revised block to submit again.
  • Rejected blocks remain in the coach's history for reference but are never visible to players.

Recurring Block Approval

When a coach submits a recurring block, the parent block and all generated child blocks are submitted together. As an admin, you approve or reject the entire series at once.

Approving a recurring block approves all future occurrences in the series. If you need to cancel a specific occurrence later, you can do so individually from the calendar without affecting the rest of the series.

Managing Approved Blocks

After a block has been approved, you still have the ability to manage it:

  • Cancel a block -- If circumstances change (maintenance, closures), you can cancel an approved block. This notifies the coach and any booked players.
  • Review the calendar -- Use the facility calendar to see all approved blocks alongside regular bookings and events.
