Coach Students

As a coach on SlotBase, you build a roster of students over time. The Coach Students section of your dashboard lets you view all the players who have taken lessons with you, track their current status, and manage your ongoing coaching relationships.

How Students Are Added

Students are linked to you automatically when they book one of your coaching blocks. Once a player books and attends a lesson with you, they appear in your student list. You do not need to manually add students.

The coach-student relationship is tracked per coach, not per facility. If you coach the same player at two different facilities, they appear once in your student list.

Viewing Your Students

To see your student roster:

  1. Go to your Coach Dashboard.
  2. Click Students in the sidebar navigation.
  3. You will see a list of all players associated with you, along with their status and basic details.

Each student entry displays:

  • Player name
  • Current status (Active, Paused, or Inactive)
  • Sport(s) they train with you
  • Date of last session
  • Total sessions completed

Student Statuses

Each student has a status that reflects the current state of your coaching relationship:

StatusMeaning
ActiveThe student is currently taking lessons with you. They have recent or upcoming bookings.
PausedThe student has temporarily paused their coaching. They may resume later.
InactiveThe student has not booked or attended a session in a significant period.

How Statuses Change

  • Active to Paused -- The student or an admin pauses the coaching relationship. This might happen during school vacations or injury recovery.
  • Active to Inactive -- If a student has no bookings or attendance over an extended period, their status transitions to inactive.
  • Paused to Active -- When the student resumes booking and attending sessions, their status returns to active.
  • Inactive to Active -- An inactive student who books a new lesson becomes active again.

Keep an eye on students who transition to Paused or Inactive. A quick message to check in can help re-engage them and get them back on the court.

Student Details

Click on any student in your list to view their detailed profile:

  • Contact information -- Name and parent/guardian details (for minors).
  • Session history -- A chronological list of all lessons they have taken with you.
  • Skill level -- Their current skill assessment (Beginner, Intermediate, Advanced, Elite).
  • Age group -- The age category they fall into (U11 through Adult).
  • Notes -- Any coaching notes you or the admin have added.

Filtering and Searching Students

If you have a large roster, use the filters to narrow your list:

  • By status -- Show only Active, Paused, or Inactive students.
  • By sport -- Filter students by the sport they train with you.
  • By age group -- View students in a specific age category.
  • Search by name -- Type a student's name to find them quickly.

Understanding the Coach-Student Relationship

The coach-student relationship in SlotBase serves several purposes:

  • Continuity -- Track which players you regularly teach so you can plan accordingly.
  • History -- See how many sessions a student has completed and their progression.
  • Communication -- Know who your active students are for announcements and schedule changes.
  • Reporting -- Facility admins can see coach-student relationships for administrative purposes.

As a coach, you can view your students' booking history with you, but you cannot see their bookings with other coaches or their personal account details beyond what is relevant to coaching.

Students in Group Settings

For group lessons, clinics, and camps, every participant who books your block becomes part of your student roster. This means your student list grows as you offer more group sessions.

  • Group students appear alongside private lesson students in the same list.
  • You can use the Lesson Type filter to see which students you primarily teach in group versus private settings.
