Coach-Led Events

In addition to regular coaching blocks, coaches can be assigned to lead facility events such as clinics, camps, tournaments, and open play sessions. Coach-led events are created by the facility admin and assigned to one or more coaches, combining the structure of the events system with the expertise of the coaching roster.

How Coach-Led Events Differ from Blocks

While blocks and events both involve coaches and players, they serve different purposes:

Types of Coach-Led Events

Facility admins can create various types of events and assign coaches to run them:

  • Clinics -- Focused skill-building workshops, often lasting a few hours (e.g., "Serve & Volley Clinic").
  • Camps -- Multi-day intensive programs, typically during school breaks (e.g., "Summer Tennis Camp").
  • Tournaments -- Competitive events where the coach serves as director or referee.
  • Open play -- Supervised recreational sessions managed by a coach.
  • Assessments -- Skill evaluation sessions led by a coach.

How Events Are Assigned to Coaches

The facility admin creates the event and assigns coaches during the setup process:

  1. The admin navigates to Events > Create Event.
  2. The admin fills in the event details (name, date, sport, capacity, pricing).
  3. In the Coaches section, the admin selects one or more coaches from the facility's active roster.
  4. The admin publishes the event.
  5. Assigned coaches receive a notification about their assignment.

As a coach, you cannot create events yourself. Events are always created and managed by the facility admin. If you have an idea for an event, discuss it with your facility admin.

Viewing Your Assigned Events

To see events assigned to you:

  1. Go to your Coach Dashboard.
  2. Click Schedule to see events alongside your blocks on the calendar.
  3. Events are displayed with a distinct color or icon to differentiate them from your regular blocks.

You can also check the Upcoming Sessions list, which includes both blocks and events in chronological order.

Your Role at an Event

As the assigned coach for an event, your responsibilities typically include:

  • Leading the session -- Delivering the instruction or managing the event activities.
  • Managing participants -- Welcoming players, organizing groups, and ensuring everyone is included.
  • Tracking attendance -- Marking participants as present, absent, or late.
  • Reporting -- Providing feedback to the admin on how the event went.

Review the event description and any admin notes before the event starts. The admin may have specific instructions about format, equipment, or participant expectations.

Event Compensation

Your compensation for leading events depends on your facility affiliation agreement. Common arrangements include:

The specific compensation terms are set by the facility admin when assigning you to the event. If you have questions about pay, check with your facility admin.

Cancelling or Declining Events

If you are unable to attend an assigned event:

  • Notify the admin as early as possible so they can find a replacement.
  • You cannot unassign yourself from an event directly. The admin manages all event assignments.

Repeatedly declining or missing assigned events may affect your affiliation status with the facility. Communicate proactively with your facility admin about any scheduling conflicts.

Events and Your Student Roster

Players who attend your coach-led events are added to your student roster, just like players who book your regular coaching blocks. This helps you build a broader student base through event participation.
