Coach Schedule
Your coaching schedule is your central hub for seeing everything you have coming up -- approved blocks, booked lessons, events, and program sessions. SlotBase provides a calendar view that gives you a clear picture of your day, week, or month at a glance.
Accessing Your Schedule
- Log in to SlotBase and go to your Coach Dashboard.
- Click Schedule in the sidebar navigation.
- Your calendar loads with all your coaching activities displayed.
Calendar Views
You can switch between different views depending on how you want to see your schedule:

| Day | Detailed look at a single day's sessions |
| Week | Planning your weekly coaching load |
| Month | Big-picture view of your upcoming commitments |
Use the Week view for day-to-day planning. It shows enough detail to see session times while giving you a full picture of your availability.
What Appears on Your Schedule
Your calendar displays several types of items, each color-coded for quick identification:
- Blocks -- Your available time slots (approved and pending).
- Booked lessons -- Blocks where one or more players have confirmed a booking.
- Coach-led events -- Events assigned to you by the facility admin.
- Program sessions -- Sessions from programs where you are assigned as a coach.
Each calendar entry shows the block title, time, lesson type, and how many students are booked out of the maximum capacity.
Identifying Block Status on the Calendar
Blocks appear differently based on their current status:

| Pending | Shown with a muted or dashed style |
| Approved (unpublished) | Shown normally but marked as unpublished |
| Approved (published) | Shown with full color; available for player bookings |
| Booked | Highlighted to indicate confirmed students |
| Cancelled | Removed from the calendar or shown with a strikethrough |
Managing Conflicts
SlotBase helps you avoid double-booking yourself. When creating a new block, the system checks for overlapping times with your existing blocks, events, and program sessions.
If you have a time conflict, you will not be able to submit the new block until you adjust the time or cancel the conflicting item. Always check your calendar before creating blocks.
Viewing Session Details
Click on any calendar entry to see its full details:
- Block details -- Time, lesson type, sport, skill level, price, and student capacity.
- Booked players -- Names of the players who have booked the session.
- Event details -- For events, see the event description, participant count, and your assigned role.
- Program info -- For program sessions, see the program name, enrollment count, and attendance status.
Upcoming Sessions
In addition to the calendar, your dashboard shows an Upcoming Sessions list -- a chronological view of your next sessions. This list makes it easy to see what is coming up without navigating through the calendar.
Each entry in the list shows:
- Date and time
- Lesson type and sport
- Number of booked students
- Facility and resource (court/field)
Cancelling a Session
If you need to cancel a scheduled block:
- Click the block on your calendar.
- Click Cancel Block.
- Provide a reason for the cancellation.
- Confirm the cancellation.
Cancelling a block with booked players will notify those players automatically. If the block is part of a recurring series, you can cancel just the single occurrence or the entire remaining series.
Filtering Your Schedule
If you coach at multiple facilities or teach multiple sports, you can filter your calendar to focus on what matters:
- By facility -- Show blocks and events for a specific facility only.
- By sport -- Filter to see only tennis, cricket, or another sport.
- By lesson type -- View only private lessons, group sessions, or events.
Schedule Best Practices

| Create blocks at least a week ahead | Give players time to discover and book your sessions |
| Keep buffer time between sessions | Avoid back-to-back sessions without transition time |
| Cancel early when needed | Give players maximum notice to rebook |
